Troubleshoot Email Issues Steps:

  • First, you need to open your Mailing account.
  • Then, you need to double verify your Settings.
  • Now you need to open your mailing account.
  • Hit on Tools -> Accounts
  • And click on Mail tab.
  • For viewing settings and info for each email account, double hit on an email account.
  • Click the duplicate or extra email accounts that you are not using and with this hit on Remove button
  • Hit on General tab
  • Verify the spelling of your account settings
  • You need to double check the spelling of each account setting, account name, domain name, outgoing mail, incoming Mail, etc.
  • Make certain that your CAPS LOCKS are not in on mode.

  • First of all double confirm your Outgoing Mail setting.

  • Check your Internet connection and then, authenticate your Outgoing Mail) setting to receive mails.

If you can send but cannot receive:

  • In case you are not able to receive mails then simply verify your Incoming Mail (POP3) settings.
  • While using the account ID and password make certain that you are using the appropriate full email address with proper password.
  • You can also delete any doubtful email that can block your Mailbox. Check for corrupted and spam emails which can cause your MSN email to hang.

Steps to Fix issue Importing Mail :

If you’re having problems importing your mail, try each of the steps below. After you try each one, check to see if the problem is fixed.

  • Check that you entered the right password.
  • Make sure the account you’re trying to import from still works.
  • Delete and then add back the email address you're importing from. Here’s how:
  1. On your computer, open Gmail.
  2. In the top right, click Settings Settings and then See all settings.
  3. Click the Accounts and Import or Accounts tab.
  4. In the "Check mail from other accounts" section, delete the email address you’re importing from, then add it back.

If the above steps didn’t work, check for problems with the program Gmail uses to get mail from other accounts.

How to Fix my Email is not working?

 1. Check Nameservers – Check that your domain name is pointing to the correct name servers where your email is hosted.

– if you check your welcome email from when you signed up to your hosting service you will find the correct settings. If you do not have the settings then please ask our 24 hour support team & they will confirm for you.

2. Check Billing is Up to Date – If your Nameservers  are correct, please double check that your hosting is paid up to date by logging into your Customer Billing Area

3. Check Password for Email Address – Check that you have the correct user name and password for your email account. The username should be of the format” email_ID@yourdomain.com”, and password is case sensitive. The quickest way to check this is to login to your Webmail. You can do this by going to http://www.ENTERYOURDOMAINHERE.com/webmail

(Please replace ENTERYOURDOMAINHERE with your domain name).

You are then prompted to enter the email address & the password. If you are able to login to webmail then this means that the password is valid for that email address so we can proceed to the next step.

3. A. Reset Email Password if Necessary – If your password is not accepted then this just means that you need to login to your Web Hosting Control Panel & reset the password for your email address. To do this, all you need to do is to login to your web hosting control panel & select the “Email Accounts” icon & then select the option to change your password. The following link shows you exactly how to log in to your web hosting Control Panel.

4. Check Email Account Quota – Next we need to check if your email quota is full because if this is happening then that will stop new emails from being accepted on the server. To do this, login to your web hosting control panel (see point 3 A above) & select the “Email Accounts” icon & then go down to the list of email addresses & you can see a summary of email accounts & the quota for each. If your email account is full then you just need to either delete some emails via webmail (see point 3 above) or you can simply increase the disk space quota for your email address by selecting “Change Quota” (we do not recommend setting to unlimited if possible).

5. Check if disk usage is exceeded – If your email client doesn’t let you connect to the server and throws at you a ‘login failed/incorrect password’ error, you are likely to have exceeded your disk usage. It’s not the quota of any specific email account that has gone over the limit, but the disk usage of your entire hosting account. You should regularly keep an eye on your disk usage to ensure it always stays within the limit.

You can confirm if your disk usage has been exceeded by simply trying to login to your cPanel. If it is over-quota, cPanel wouldn’t let you in. You could then contact support who will look into it for you. Once you have verified that your nameservers, billing, password & quota details are correct we can now run through some trouble shooting to find out where the issue is.

6. Check Configuration – For your email software to be able to send & receive emails then the configuration settings need to be set as shown below. You can find these settings in your email´s software. For example, in Microsoft Outlook or Windows Live Mail you just need to select Tools/Accounts & then in the Servers tab please ensure that your settings are:

> E-mail Address: Your complete email address (see point 3 above)
> Password: Your email password (see point 3 above)
> My Incoming Server is a: POP3
> Incoming mail server (POP3): mail.domain (eg: if your domain is abc123.com your settings would be mail.abc123.com)
> Outgoing mail server (SMTP): mail.domain (eg: if your domain is abc123.com your settings would be mail.abc123.com)
> Remember password: Select Yes by ticking the box to confirm
> Server requires Authentication: Select Yes by ticking the box to confirm

Then select the Advanced options and check the following:

Outbound SMTP Port: 25 or 26  [Some ISPs block port 25 traffic to reduce spamming. If you are unable to send out mails through port 25, try port 26. ]

Inbound POP3 Port: 110

Do not select the option to leave a copy on the server as this will eventually fill up your web space if you select this option.

7. Try Server-Name in place of domain name – Still not working? OK, it could be that your ISP does not recognize the mail server settings so we will try replacing these one at a time with the main server-name of the server.

To do this please follow these steps:

A. Get your server-name from the product welcome mail.

B. Go back to point 6 above & first replace the incoming mail server (POP3) with the nameserver (i.e. using the example in the above article, we would replace mail.abc123.com with node005.hostingseries.net). Try again.

C. If it still does not work change the incoming mail server (POP3) back to its original setting (eg: mail.abc123.com) & then change the Outgoing mail server (SMTP) to the server name (i.e. using the above example we would replace mail.abc123.com with node005.hostingseries.net) & try again.

D. If it still does not work, please change both Incoming & Outgoing to the server-name (i.e. using the above example
we would replace mail.abc123.com twice with node005.hostingseries.net)

If you still are unable to configure your email, consider getting your own domain name with personalised email accounts eg: (yourname@yourbusinessname.com)

Troubleshooting Form Notification Emails

 

1. Checking Email Notification Settings

If you’re experiencing email delivery issues, it’s best to first check your form’s notification settings. Here are some things to look for:

  • Typos: Check that all emails are spelled correctly, and multiple emails are separated by a comma.
  • Sender: In some email providers, having the same Send To Email Address and From Email address can be flagged as spam or blocked from delivery.
  • From Email: There can only be one From Email.

2. Installing and Setting Up an SMTP Plugin

By default, WordPress uses the PHP mail function to send emails generated by WordPress or any contact plugin like WPForms.  The most common reason for not getting emails is that your WordPress hosting server is not configured to use PHP mail() function.

In addition to this, sometimes email providers will flag or block emails that arrive from a different domain than they claim. For example, if your From Email is @gmail.com, but your domain is www.example.com, this domain mismatch may cause an email provider to block the email.

To resolve email delivery issues, we recommend using SMTP to send emails in WordPress. Unlike the PHP mail function, SMTP increases email deliverability by using proper authentication.

3. Disabling the Optimize Email Sending Option

The Optimize Email Sending option allows you to send notification emails asynchronously. This means that email sending tasks are placed in a queue in the background, allowing other form processes to be completed faster.

Enabling this setting is not recommended for users with low-traffic sites, as this may increase email delivery time substantially. This setting is also not intended to fix email delivery issues and is disabled by default.

Common ways to troubleshoot Email Issues

 Most of us rely on email as an important way to communicate in both our business and personal interactions. When it isn’t working, we can miss messages that are important to us. While it may seem like you have little control over how email messages are sent and received, fixing anything that is wrong with that process is often easier than you would think. Here are several ways to troubleshoot and navigate the most common email issues.

Missing Email Messages

If you are missing a few, specific emails check your Spam or Junk folder. Depending on the subject lines and other factors in email messages, they may be picked up as Spam or Junk, particularly if your filter is strong. If that isn’t the issue, ask the email senders if they have received a bounce-back of the email they sent to you.

On the other hand, if you are missing a large amount of email after you checked it from a device that you don’t normally use, you likely used Post Office Protocol (POP) to access it from that device. POP grabs emails from your server, downloads them, and sends them to you or whomever you designate. To fix the problem, create an IMAP account on the device you accessed email with and drag and drop emails from the POP inbox to the IMAP inbox. Then, disable the POP email inbox.

Can’t Send or Receive Email Messages

Check that your Domain Name System (DNS) is sending email to the server you are using. If you have just set up an account or made a change to an account, it may take 24-48 hours to begin sending/receiving the email. If this isn’t the case, disable then re-enable your account.

Slow Email Messages

This issue is often connected to mailbox size so first try deleting or archiving some email. You also may have exceeded the disk space for this email account or the server you are using. To fix that, increase the disk space for the account, upgrade your storage space, and reduce the mailbox size.

Bounce-backs

A bounce back is when you get back the email you tried to send as a result of some kind of error. Read the message in the bounce-back email. It will likely say why the email was rejected, such as it is being blocked, treated as SPAM, or the recipient doesn’t exist. Check the spelling of the email address you sent the message to and make certain you have spelled it correctly. If you have spelled correctly, call the recipient and make sure you have the correct address.

How to fix Email sending issues?

 Steps to Fix Email Sending Issues :

  1. Check your internet connection. It happens. So first of all, be sure that you’re connected to the internet!
  2. Check your SMTP server details. This is an extremely common mistake: you have set up your mail client with the wrong SMTP parameters. To find out yours, please refer to our list of the most common ones or ask directly your provider.
  3. Verify all usernames and passwords. Another small mistake that happens usually, so doublecheck your login details.
  4. Check your SMTP server connection. Now this is trickier: even if your SMTP details are correct, the server itself can be down or not functioning for some reason. Here’s a list of all the SMTP error codes to get your bearings; and remember again that using a professional outgoing server this won’t happen again.
  5. Change your SMTP port. The outgoing mail server uses normally port 25, but some ISPs may block it due to the increasing spam traffic that’s been passing through it. You can use then port 587 or 465; for more information read our article about SMTP ports.
  6. Control your antivirus or firewall settings. Sometimes an outgoing mail server can conflict with the computer’s protection systems. So verify that your firewall or antivirus are not blocking it, setting up a proper exception rule.

How to troubleshoot Email can't send and receive Issues?

 I can’t send or receive

If you are unable to send or receive emails, there are a few possible causes.

 

The first step is to make sure that you can connect to the internet. If you are unable to access any webpages (such as Google, BBC, etc.) then the issue lies with your internet connection. Try unplugging your router and restarting your computer. If this does not solve the issue, please contact your internet service provider (ISP) who should be able to tell you if there are any issues in the area.

 

If you can access the internet, the next step is to check your email settings within your email program. These are usually accessed by going to File > Account Settings (is also under Tools or preferences in some older email programs). Clicking on your email address should bring up the settings for your account. The settings should look something like this:

 

Username: This should always be your full email address

Password: This is the password that was created when the account was created (if you cannot remember your password, please login into the cPanel and change to something more memorable).

 

Incoming mail server: mail.yourdomain.com

Incoming port number: 110 (POP3) or 143 (IMAP)

 

Outgoing mail server: mail.yourdomain.com

Outgoing port number: 587

 

If your settings are ok, the next step is to ensure that authentication is turned on for the outgoing server. This is to prevent unauthorised users sending from your email account and the account will not work if this is unticked.

 

If the issues still continue, try deleting the account and setting up again. Please note that deleting a mail account from an Apple device will permanently delete all mail, unless you have an IMAP account and mail is stored on the server.
